Our client is looking for an Operations Manager, Central Belfast, Maternity Cover 9 Month FTC

Our client is seeking a talented Operations Manager to cover a maternity leave position in Belfast. Starting in September, this role will span 9 months of impactful work. Work-day hours are 08:30 – 17:30, Mon – Fri

Your main roles

Manage the day to day running and operations of the two Belfast business centres with responsibilities for Reception, Facilities, Meeting Rooms, Cleaning and Member Services

Responsible for maximizing revenue and reducing costs in all areas outlined.

Ensure the Front of House operates smoothly, maintaining efficient office administration systems.

Manage a CRM system, keeping in close contact with existing members to ensure their needs are being met, always providing excellent service.

Dealing with all member correspondence/queries and complaints by phone/email and in person

Responsible for co-ordination of member moving in/out to include preparing offices and inducting new clients to the building.

Oversee meetings from room set, meet & greet, AV and catering, inputting all booking details on to the booking system and ensure billing is correct.

Generating accurate monthly invoices

Liaise with Accounts on debtors and where necessary follow up on payments.

Personnel management to include recruitment, induction, training, managing, and scheduling of staff.

Conduct regular one-to-one and team meetings, job chats and appraisals with team.

Assisting with sales, marketing and business development as required, promoting this company’s products and services at any available opportunity. 

Identifying and meeting potential new members and developing new business

Primary Contact for emergency communications including after hours.

What you need to succeed?

Must have 3 rd level degree or at least 5 years in a management position with direct responsible for customer service, property management and team leadership.

Highly motivated to do the best job possible and aim for excellence. Good is not good enough.

Hands on approach to getting things done when needed, but can delegate also

Experience in managing remotely located staff, contractors and suppliers.

Experience in managing operations in multifunctional buildings

Strong organizational skills & ability to work well under pressure

High accuracy and attention to detail

Excellent written and verbal communication (fluent English essential)
