14 August, 2023Our client is seeking to recruit a Workplace Services Assistant, you will be reporting to the department Manager and Head of Workplace Services. The ideal candidate will have excellent interpersonal skills, strong attention to detail and a proven ability to work within a team and on own initiative. In this position you will provide effective and efficient operational support for business services operations across the Workplace Services functions.
Responsibilities
- Maintain effective systems for managing, storing and recording of archives and deeds.
- The safe keeping and destruction of confidential information.
- Provide support to the reception team (including cover).
- Effectively maintain stationery stock levels.
- Liaise with suppliers on maintenance and facilities.
- Provide post room assistance (DX, Post, Scanning and deliveries).
- Support presentations, webinars, video meetings and other events including room set up.
- Maintain visitor access control systems.
- Support end user service (EUI) function in conjunction with the IT Department.
- Support the starter/mover/leaver process.
- Undertake relevant training as required (fire warden, DSE assessment, first aid).
- Support ISO processes.
Criteria
- Ability to work in a challenging environment with changing priorities/deadlines.

- Excellent communication skills via different mediums i.e. telephone, email and in-person
- An understanding of IT end user hardware and peripherals
- Strong communication skills and Ability to communicate appropriately with people at all levels of the Firm.
- Good time management skills the ability to cope under pressure and to prioritise work Excellent and professional telephone manner.
- Attention to detail and enthusiastic about maintaining professional high standards and levels of confidentiality.
- Windows 10, BigHand, MS Office
- Good level of relevant education or relevant experience (Business Studies diploma or 2 years plus experience working in professional services).
