Our client is seeking to recruit a Workplace Services Executive, you will be reporting to the department Manager and Head of Workplace Services. The ideal candidate will have excellent interpersonal skills, strong attention to detail and a proven ability to work within a team and on own initiative. In this position you will provide effective and efficient operational support for business services operations across the Workplace Services functions.

Responsibilities

Maintain effective systems for managing, storing, and recording of archives and deeds.

The safe keeping and destruction of confidential information.

Provide support to the reception team (including cover).

Effectively maintain stationery stock levels.

Liaise with relevant supplier as required on maintenance of equipment and facilities SLAs.

Provide Adhoc post room assistance (DX, Post, Scanning and deliveries)

Ensure support for on-site and remote Presentations, Webinars, Live Trials, Video Meetings, and other events including meeting room set up.

Understand systems and maintain visitor access control systems.

Support the End User Services function in conjunction with the IT Department.

Ensure that all incidents and requests are appropriately dealt with, recorded, or escalated.

Provision of necessary hardware for end users including Desktop, Laptop, Mobile Phones, and all peripheral devices, covering both new setups and hardware replacements.

Delivery of the Starter/Mover/Leaver/Change process including improving and changing the process as required.

Undertake relevant training as required (fire warden, DSE assessment, first aid)

Support internal and external ISO processes.

Ability to work in a challenging environment with changing priorities/deadlines.

Flexibility and adaptability

Excellent communication skills via different mediums i.e. telephone, email and in-person

An understanding of IT end user hardware and peripherals

Strong communication skills and Ability to communicate appropriately with people at all levels of the Firm.

Good time management skills the ability to cope under pressure and to prioritise work Excellent and professional telephone manner.

Attention to detail and enthusiastic about maintaining professional high standards and levels of confidentiality.

Windows 10, BigHand, MS Office

Good level of relevant education or relevant experience (Business Studies diploma or 2 years plus experience working in professional services).
